    Jacobs is a prime government contractor providing facilities support services for NASA Ames Research Center. Ames is one of ten NASA field centers, located in the heart of California's Silicon Valley. For more than 76 years, Ames has led NASA in conducting world-class research and development in aeronautics, exploration technology and science aligned with the center's core capabilities. Our support to Ames includes a broad scope of research and institutional facility-related maintenance, operations, engineering, environmental and emergency services. Join us at Jacobs in support of the exciting work being performed at NASA Ames. We are looking for two motivated Project Coordinators to join our team. This is a full-time exempt position with several benefits including job stability, 401(k), Health, Dental, Vision, Life Insurance, Disability Benefits, 10 Holidays, PTO and Sick Leave. The range of pay is $65K - $80K range.

    • Assist Project Managers in maintaining documentation for all aspects of a project from initiation to close-out.

    • Coordinate and work with in-house technicians, vendors, and subcontractors to successfully deliver projects.

    • Assist Project Managers to obtain permits required for design and construction from the Ames Permit Review Board, as well as those required to complete specific project tasks (i.e. hot work, confined space entry, etc).

    • Assist Project Managers in preliminary review of vendor/subcontractor proposals, engineering design packages, subcontractor safety documentation, equipment specifications, and other project submittals.

    • Assist Project Managers in evaluating and approving/rejecting subcontractor change orders.

    • Assist Project Managers in tracking internal progress of purchase requests and purchase order distribution to align with project's deadline/schedule.

    • Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored.

    • Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes, and emails.

    • Maintain project financial records and budget updates in Oracle PeopleSoft.

    • Maintain project records and updates in Maximo, a computerized maintenance management system (CMMS).

    • Requires routine use of PPE on construction and maintenance sites.

    Here's what you'll need :

    Requires BS degree from accredited college in construction management, engineering, or a related technical field or 1-3 years of experience in project coordination, project management, construction management, or facilities management in the construction industry.

    Position Requirements: Work closely with project managers to create comprehensive action plans concerning resources, budgets, and timeframes and to maintain documentation for projects in support of the Engineering & Project Management Department in the planning, estimating, and execution of facilities and site improvement projects up to $1M in value on a large government research campus. Projects may include fire alarm systems, roads/paved surfaces, buildings, cranes/elevators, underground utilities, HVAC, electrical utilities, and landscaping, to include major Infrastructure modifications. Coordinate subcontractor work supporting projects including schedule, cost, and scope compliance, workmanship quality, and customer relationships. Complete weekly and other periodic status reporting. Monitor on-going projects to ensure safe work places and procedures, efficient construction/maintenance, and fully complete work with documentation.

    Candidate shall have experience prioritizing competing tasks as he/she will have to balance a load of active projects throughout the estimating, preconstruction, construction, and closeout phases. Candidate will support multiple Project Managers. Candidate shall have a basic knowledge of quality assurance, safety, project management, and subcontractor management. Requires strong organizational skills and attention to detail, as well as the ability to work collaboratively in a team environment. Requires excellent MS Office tool skills including Outlook, Word, Excel, PowerPoint, MS Teams, and Sharepoint. Experience with Maximo, Oracle PeopleSoft, and MS Project preferred, but not required.

    Essential Functions Physical Requirements: Must be able to sit for extended periods of time, climb stairs and ladders, and operate computers and associated office equipment.
