    Job Summary:

    JOB SUMMARY

    Responsible for day-to-day coordination of the operational and administrative functions for space and facilities projects. Coordinate aspects of space renovation or refurbishment, on behalf of the Adult Enterprise.

    POSITION SHIFT

    Normal Business Hours, Monday-Friday, with occasional nights and weekends

    KEY RESPONSIBILITIES * Project Management of in-house renovations in coordination with Plant Services or Vanderbilt preferred vendors. * Development of project timeline, facilitation of work orders; prepare, implement, and communicate all plans for movement of clinics to temporary space and/or renovated space. * Develop and implement move coordinator training and processes by development of the Move Checklist/Tracking Tool. * Coordinate relocation of existing clinical or administrative workstations by partnering with assigned CWS team members or LAN Managers. * Monitor available budget and make recommendation for use of allocated budget. * Develop and defines communication plan for all projects. * Establish an effective communication plan with project leaders. * Implement organizational communication regarding project timelines and completion dates, as appropriate. * Provide input on programs, procedures, etc. for cost containment and space assessment; assist in monitoring budget. * Assist with marketing efforts related to move projects including signage, patient communication, and referring physician communication. * Assist with the design and planning of renovations of existing spaces. * Advise planning staff with regards to preferred equipment types, manufacturers, vendors., etc. * Facilitate and coordinate physical move of furniture, equipment, carpet, paint, phones, privacy curtains, etc. involving coordination and interaction with multiple vendors. * Work directly with staff and leadership involved with the move to ensure time frames are achieved and moving materials are prepared. * Performs troubleshooting decisions on problems as they arise (partners with area leader to make decision regarding replacement of equipment, corrective actions, etc.) * Evaluate storage and surplus inventory for determination of space allocation and utilization. * Establish new offices for incoming staff and faculty.
