Description
We are seeking a dynamic and highly organized Executive Assistant/Operations Assistant to join our client team in a permanent capacity. This role will provide comprehensive support to senior management while also playing a vital role in company operations, particularly in event planning and client relations. The ideal candidate will thrive in a fast-paced environment, excel at multitasking, and possess exceptional communication and organizational skills.
Manage senior management's calendars, including scheduling appointments, meetings, and travel arrangements.
Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing meeting materials.
Handle correspondence, including drafting emails, letters, and other documents.
Prepare presentations, reports, and documents as needed.
Assist in personal tasks and errands for senior management as required.
Maintain confidentiality and discretion in handling sensitive information.
Assist in the planning and execution of events, including venue selection, vendor coordination, and logistical arrangements.
Foster positive client relationships through effective communication and timely responses to inquiries.
Prepare proposals and presentations for potential clients, ensuring accuracy and professionalism.
Manage client contracts, invoices, and payments in coordination with the finance team.
Organize and maintain digital and physical files, ensuring easy access and retrieval of information.
Collaborate with cross-functional teams to ensure seamless execution of projects and events.
Requirements
Bachelor's degree preferred.
Proven experience (2+ years) in a similar role, preferably in the event management or hospitality industry.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong attention to detail and accuracy in work.
Exceptional communication and interpersonal skills.
Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.
High level of discretion and confidentiality.
Experience with event planning software/tools is a plus.
