  • The successful candidate will coordinate administrative support services and academic program activities and be able to act independently to coordinate a variety of processes and activities for our academic programs. The Department of Health, Behavior and Society has over 130 students. We are seeking an Academic Program Coordinator who will support the Vice Chair of Academic Affairs and the Academic Program Administrator. This is a student facing position and will liaise with students and faculty. Currently, the department has three master's programs and one doctoral program. Our faculty also have leadership roles in the school-wide MPH and DrPH programs.

    Specific Duties & Responsibilities

    • Acts independently to coordinate a variety of processes and activities for the academic programs based in the department.

    • Provides organizational and administrative support (e.g., schedules meetings and seminars, graduate finances, exam calendar, events, room bookings, etc)

    • Manages interface with Student Information Systems (Student Affairs, Financial Aid, Human Resources, etc.) needed for the support of the academic programs.

    • Ensures school-level email communications relevant to students reach appropriate audiences (e.g., program directors, students)

    • Handles many of the day-to-day administrative processes and details (forms, processes, letters)

    • Communicates with prospective students and supports departmental admissions processes.

    • Processes student funding awards (departmental support, training grants and fellowships) for all students based in the department.

    • Processes TA and RA requests for all HBS faculty.

    • Processes hiring of student graduates.

    • Processes Bonus Supplements for faculty and students related to the academic programs in the department.

    • Processes student reimbursements for professional development activities.

    • Creates and maintains faculty, student, and course information records.

    • Provides information to students about admission criteria, program offerings, degree prerequisites & requirements.

    • Coordinates departmental academic events, including recruitment activities and student visits, career development activities and seminars, orientation activities, and receptions.

    • Assists Academic Program Administrator with student handbook revisions and updates.

    • Monitors course schedules and program deadlines, and related communication.

    • May implement processes and procedures for exams.

    • Staffs related committees, including preparing minutes.

    • Schedules and coordinates meetings and appointments.

    • Other duties as assigned.

    Minimum Qualifications

    • High School Diploma or graduation equivalent.

    • Three years administrative/academic related experience.

    • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

    Preferred Qualifications

    • Excellent interpersonal communication and customer service approach with all stakeholders.

    • Comfortable doing finance-related work.

    Role/Level/Range: ATO 37.5/02/OE

    Starting Salary Range: $18.00 - $33.50 HRLY ($50,213 targeted; Commensurate with experience)

    Employee group: Full Time

    Schedule: Monday to Friday: 9 am - 5 pm

    Exempt Status: Non-Exempt
